[Rx2021] ASHP Midear 2019

Good Evening Everyone,

It is that time of year again and ASHP Midyear is right around the corner!  I wanted to reach out to everyone interested in the meeting with some important dates concerning the conference.


ASHP Midyear Clinical Meeting & Exhibition 2019 will be held in Las Vegas, NV from December 8-12, 2019.  The meeting will be hosted by ASHP at the Mandalay Bay Convention Center located at 3950 S Las Vegas Blvd, Las Vegas, NV.  There are many hotel options available within walking and driving distance of the convention center. Lodging can fill up quickly for this weekend, so I highly recommend making reservations as early as possible. Concerning travel information, I highly recommend booking travel and lodging through a travel website such as Travelocity to minimize costs for both reservations.


In regards to booking rooms and specific travel dates, for P3's and P2's attending, you may have noticed this is the same week as finals for us. Students desiring to attend the ASHP Midyear Clinical Meeting will need to request an excused absence from the coordinators of each of their courses AS SOON AS POSSIBLE IN THE TERM. Students granted excused absences will need to return to Pittsburgh no later than Tuesday night (December 10). Make up exams will be scheduled on Wednesday, Thursday, and/or Friday (except for P2s, who have experiential learning all day that Thursday and Friday). It is possible/likely that students attending MCM will need to take more than one exam on some days.


Monday and Tuesday are the only days for student poster presentations this year so please plan your travel accordingly if you plan to present a poster. Session times are Monday, December 9th 10:45 am - 11:45 am, 12:00 pm - 1:00 pm, 4:15 pm to 5:15 pm and Tuesday, December 10th 10:45 am - 11:45 am, 12:00 pm - 1:00 pm.


Important dates:
Poster Deadlines: Students, Residents, and Fellow poster submission sites are open and closes October 1st at 11:59pm.

Registration: For those who haven't registered yet, registration is also open! EARLY BIRD specials for discounted registration fees is open until October 24th. Mail, fax, and phone registration must be received by ASHP by December 2nd and online registration before midnight on December 5th.

Reimbursement policies will be the same as last year. You must be presenting a research poster  either through the school or through personal research to be eligible to apply for reimbursement. In order to apply for reimbursement,  you are required to provide proof of official abstract/poster acceptance from ASHP.  The amount of reimbursement allocated to each student presenting a poster will be determined based on direct involvement and active participation in SSHP/SIO. Students who will also be eligible for reimbursement are the two students competing in the National Clinical Skills Competition 2019 and SSHP E-board members attending professional development workshops required by the national organizations. Students who wish to attend the conference solely to network, attend the residency showcase, mandated by ARCOs, etc. (not presenting posters) are not eligible for reimbursement. Concerning the allocation of reimbursement, SSHP/SIO and the professional council chairs will be looking at past participation in SSHP/SIO as well as active participation during the Fall semester 2019.  For each student that is eligible for reimbursement, a “Travel Reimbursement Form” must be completed within one month of the conference (11/9/19).  If reimbursement is granted and the conference is attended, it is essential that each student keep hard-copy records of all of their expenses.  Records include: registration confirmation/payment, hotel reservation/payment, flight confirmation/payment, abstract/poster acceptance forms, etc. These documents must be submitted one week after returning from the conference in order to process each reimbursement request.
