Apologies for sending another e-mail announcement this week. But with deadline for the convention proposals being on Sunday, Jan. 15, 2012, we thought it best to resend the previous e-mail (with some revisions) and to let you know that we uploaded Step-by-Step Instructions on how to submit an online panel/roundtable proposal (in PDF). For those who are still looking for panel presenters, please note that some of our members have been posting their individual topic ideas on our Facebook Page<https://www.facebook.com/slavic.e.european.eurasian.studies> and LinkedIn group<http://www.linkedin.com/groups?mostPopular=&gid=2585509>.
Please be aware that we have a new online convention proposal site. Below are some important pointers to help in the process.
1. The new system will NOT allow you save or submit an incomplete proposal. So it is vitally important that you gather all necessary information before you start your submission process. (We recommend that you save your information in a word document first since you can copy and paste the text from Word into the online proposal fields.) However, once you have successfully submitted, you can go back and edit the proposal afterwards.
2. If your roundtable/panel has a participant who is new to ASEEES, please ask him or her to enter his/her contact information NOW using the New Visitors Registration page-https://netforum.avectra.com/eweb/DynamicPage.aspx?Site=ASEEES&WebCode=LoginRequired
This advance work will save you time and potential glitches in having to add a new person into our database (which is not difficult but this is where we are experiencing some delays in the system). Once your colleagues' names are in our database, you as the panel/roundtable organizer will just have to search for the participant's last name, click to add that person into the proposal.
If they have attended the convention in the last 6 years even as non-members, they should already be in our database. They can check this by entering their e-mail address at "Forgot Your Password?" - https://netforum.avectra.com/eweb/DynamicPage.aspx?WebCode=ForgotPassword&Site=ASEEES If their e-mail is in our database, this would allow them to set their password and update any info.
3. You will have to enter a very brief cv/bio for each participant into ONE text box in the online form. (See the screenshot in the FAQ page - http://www.aseees.org/convention/proposal-faq.html). You will need to gather this information before you start the submission process. You can copy and paste from a Word document.
4. PANEL PROPOSALS ONLY: In addition to the brief abstract describing your panel, we are asking for a 2-3 sentence description of each paper. You will need to gather this information before you start the submission process. This does NOT apply to roundtable participants.
